    This policy explains what personal information Restoring Wholeness collects through this website and store, why we use it, how we protect it and the choices available to you under South Africa's Protection of Personal Information Act (POPIA).

    Who we are

    Restoring Wholeness is a counselling practice and wellness store based in Cape Town, South Africa. We are the "responsible party" for the personal information described in this policy.

    Information we collect

    • Account details — your name, email address and securely hashed password when you create an account.
    • Contact and delivery details — phone number, delivery address or chosen Pudo locker, and billing address when you place an order.
    • Order history — the products you buy, order totals, payment status and delivery status.
    • Enquiries — the message and contact details you send us through the contact or booking forms, or via WhatsApp and email.
    • Cookie and analytics data — pages visited, device and browser type and approximate location, collected only if you accept analytics cookies (see "Cookies" below).

    We do not collect or store your card details. Payments are handled securely by our payment processor.

    Why we use your information

    • To fulfil your order (processing, payment, delivery, returns) — necessary to perform our contract with you.
    • To manage your account and let you view orders, addresses and wishlists — performance of a contract and our legitimate interest in running the store.
    • To respond to enquiries and booking requests — your consent and our legitimate interest in answering you.
    • To meet legal obligations such as tax and consumer-protection record keeping.
    • To understand how the website is used and improve it — based on your consent to analytics cookies.

    We do not sell your personal information and we do not send marketing emails without your consent.

    Who receives your information

    We share personal information only with service providers who need it to deliver our services to you:

    • Yoco — our payment processor, to take secure card payments.
    • Courier partners including Pudo (The Courier Guy) — your name, phone number and delivery address or locker, to deliver your parcel.
    • Google Analytics — anonymised usage data, only after you accept analytics cookies.
    • Hosting and infrastructure providers that securely store our website data and the store platform that processes orders.

    Some providers may store data outside South Africa. Where this happens, we ensure they are bound by protections that are substantially similar to POPIA.

    Cookies and consent

    When you first visit, a cookie consent banner asks whether you accept analytics cookies. Analytics cookies only load after you give consent. Essential cookies — needed for your basket, login session and security — are always on because the site cannot work without them. You can change your choice at any time by clearing your browser cookies, which will show the banner again.

    How long we keep your information

    • Order and payment records: 5 years, as required by South African tax and consumer legislation.
    • Account details: for as long as your account is active, and deleted on request.
    • Enquiries: up to 12 months after our last contact, unless you become a client.
    • Analytics data: retained according to Google Analytics' standard retention settings (up to 14 months).

    Your rights under POPIA

    You have the right to:

    • Access the personal information we hold about you.
    • Correct information that is inaccurate or out of date.
    • Delete your information where we no longer have a lawful reason to keep it.
    • Object to processing, including direct marketing, at any time.
    • Withdraw consent for analytics cookies or marketing.
    • Complain to the Information Regulator of South Africa (inforegulator.org.za) if you believe we have not handled your information lawfully.

    Security

    The website is served over HTTPS, passwords are stored in hashed form, and access to personal information is limited to those who need it. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information.

    Counselling clients

    Confidential

    Counselling records are kept confidentially and separately from the online store. They are not used for marketing or linked to your store account. Disclosure is governed by the practice's professional obligations and applicable law.
